Retention By Plan

How long Flidu keeps stored records, chat logs and analytics on each plan, where the retention period is shown in the dashboard, and what a plan change does to records you already have.

Retention is the length of time Flidu keeps a stored record before it is no longer available. It is set by your plan, and Website Widgets and AI Chatbot each have their own period. Bundle & Save changes the price of the two plans together; it does not change either retention period.

Form records are the Contact Form, Feedback and Guided Form submissions kept in Data Hub. On Starter and Pro a submission is emailed to you and no record is kept, so the notification email is your only copy. Records And Submissions explains what a record holds.

AI Data Hub records are stored Ask AI conversations and the details visitors leave through Visitor Capture. See Visitor Questions In Data Hub. Flidu counts 12 months as 365 days and 24 months as 730 days. For what each plan includes beyond retention, see Pricing.

Where To See Your Retention Period

  • Data Hub header. A badge beside the page title reads 12-Month Retention, 24-Month Retention or Custom Retention. It names the product line, for example Website Widgets · 12-Month Retention, unless both product lines are active with the same period.
  • Overview tab. The Records retained until tile shows the month a record received today will be kept until, and the Retention card states the period in words.
  • Inside a record. A form record and an AI conversation each show a Retained until date.
  • Analytics. A chip in the Analytics header, such as 90-day retention, shows how far back the charts can go.

How A Record Gets Its Expiry Date

A form record’s Retained until date is set when the submission arrives: the date received plus the retention period of the Website Widgets plan active at that moment. The date does not move afterwards. When it passes, the record is removed automatically and cannot be opened or exported.

Date filters follow the same limit. In the Select Date Range panel, presets that reach further back than your retention period show a lock, and selecting one displays “Longer date ranges are included on higher plans.” A custom range that starts before your retention period shows only the records still kept. Dates in Data Hub are in UTC.

What A Plan Change Does

  • Upgrading Website Widgets to Business starts storing form records from that point. Submissions that arrived by email on Starter or Pro are not added to Data Hub afterwards.
  • Moving from Business to Agency gives new records the 24-month period. Form records already stored keep the Retained until date they were given.
  • Dropping below Business locks Data Hub for that product line. On Starter or Pro, new submissions go back to email only. The Overview tab says it plainly: “Records may become unavailable after a plan downgrade.”
Export Before You DowngradeExports need a plan that includes Data Hub, so a locked Data Hub cannot be exported. If you plan to move below Business, create and download your exports first.

Keep A Copy Of What You Need

Retention is a limit, not an archive. To keep records longer than your plan does, export them as CSV while they are still stored. Export Data Hub Records covers the steps, and exports are limited to the workspace Owner and Admins.

When stored form records are approaching the end of their retention period, Flidu emails the workspace Owner and Admins. That warning is a routine notice: it is not emailed while the Website Widgets mode in Notification Controls is Priority only, Dashboard only or No emails. Open your oldest records now and then to check their Retained until dates instead of relying on the email alone.
