Export Data Hub Records

Workspace Owners and Admins can export stored Data Hub records as CSV: the records they tick, everything matching a filter, or a whole date range. Exports need a plan that includes Data Hub on that product line.

An export is a CSV file of stored Data Hub records that you can open in a spreadsheet or keep as your own copy. You choose which records go in and which groups of fields are included. Flidu prepares the export in the background, and you download it from Export History on the Exports tab once its status is Ready.

Who Can Export

  • Plan. Exports need Data Hub on the product line you are exporting: Website Widgets Business or Agency for form records, AI Chatbot Business or Agency for AI records. Enterprise follows your agreement. Free, Starter and Pro do not include Data Hub exports.
  • Role. Only the workspace Owner and Admins can create or download an export. Viewers see “Exports are available to workspace owners and admins.”
  • Format. Every export is a CSV file. Exports contain records. Analytics charts and totals are not exported.

Each product line is checked on its own. If only one line includes Data Hub, you can export that line, and the Exports tab notes that the other is not available on its current plan. See Pricing for the plans.

Four Places To Start An Export

WhereButtonWhat Goes In The File
Records tab, with rows tickedExport selectedOnly the records you ticked.
Records tabExport FilteredEvery record that matches the filters you have applied.
An open form record or AI escalationExport recordThat one record.
Exports tabNew exportEvery record in the date range you choose.

All four open the same export panel. Website Widgets and AI Chatbot records are always exported as separate files, because each product line has its own fields and its own retention.

Create An Export From The Exports Tab

  1. Open Data Hub from the sidebar and choose the Exports tab.
  2. Set the date range. It opens on Last 30 days. Presets longer than your retention period are locked, and Clear covers every retained record.
  3. Choose New export.
  4. If both product lines include Data Hub, choose Website Widgets or AI Chatbot. For AI Chatbot, also choose the AI record type: AI conversations or AI escalations.
  5. Optionally type an Export Name so you can recognise the file later.
  6. Under Include in Export, switch each group of fields on or off. At least one group must stay on.
  7. Choose Create export.

The panel confirms with Export is being prepared, and the export appears in Export History with the status Preparing.

Choose What The File Contains

For Website Widgets records, the field groups map to these CSV columns:

Field GroupCSV ColumnsOn By Default
Record SummariesSubmitted At, Type, Status, Website, Domain, FormYes
Rating (Feedback)RatingYes
Submitted Contact FieldsVisitor Name, Visitor Email, Visitor Phone, MessageNo
Source PageSource PageYes
Channel InstanceChannel InstanceYes

Submitted Contact Fields carries a Caution label because it holds what visitors typed. It is off until you switch it on. A Guided Form record is listed with its form title, page and contact fields; its individual answers are not CSV columns, so read them in the record itself or in the notification email.

  • AI conversations offer Record Summaries (start and last message times, assistant, website, widget, answer status, sources used, feedback and escalation) and AI Context, which adds the question summary and is off by default.
  • AI escalations offer Record Summaries, Source Page and Assistant, which are on by default, plus AI Context and Submitted Contact Fields, which add the visitor’s question, name, email and phone and are off by default.
Exports Can Contain Personal DetailsA file with contact fields or question text holds information your visitors gave you. Include those groups only when you need them, and share the file carefully.

Download From Export History

Flidu prepares exports in a scheduled background run, not at the moment you choose Create export. That run currently happens once a day, so a new export can stay on Preparing for up to a day. You do not need to keep the page open: Flidu emails the person who created the export when it is ready or if it could not be prepared.

StatusWhat You Can Do
PreparingWait. Creating the same export again does not make it faster.
ReadyChoose CSV to download the file. The row shows the date the download expires.
FailedChoose Retry, or open Details to read why it could not be prepared.
ExpiredChoose New to create the same export again.

Details opens a panel with the export type (Selected Records, Filtered Records or All Records in Range), the product line, date range, filters, fields, row count, who requested it, and its created and expiry dates. A download works only while you are signed in as an Owner or Admin of that workspace.

If An Export Does Not Work

  • No New export button: neither product line includes Data Hub, or your role is not Owner or Admin.
  • “Too many records for one export”: narrow the filter or the date range and create a smaller export.
  • “A selected record is no longer available”: a ticked record is no longer stored, for example because its retention period ended. Tick the records again and create a new export.
  • The download is not available: the export has expired, or the plan no longer includes Data Hub. Create the export again once the plan includes it.

Records are no longer available once their retention period ends, so export what you need to keep before then. Retention By Plan lists the periods, and My Export Is Locked, Failed Or Expired walks through each problem.
