Data Hub

Records And Submissions

Data Hub keeps Contact Form, Feedback and Guided Form submissions as records you can filter, open and export. Stored records start on Website Widgets Business; below that, submissions reach you by email only.

A submission is what a visitor sends through a Contact Form, Feedback or Guided Form channel in your widget. A record is the copy of that submission kept in Data Hub, where you can find it again later. By default every accepted submission is emailed to you. Whether it is also stored as a record depends on your Website Widgets plan.

Which Submissions Become Records

Website Widgets PlanWhat Happens To A Submission
FreeContact Form, Feedback and Guided Form are not included, so no submissions are accepted.
StarterContact Form and Feedback submissions are emailed to you. Nothing is stored.
ProContact Form, Feedback and Guided Form submissions are emailed to you. Nothing is stored.
BusinessEach submission is emailed and stored as a record for 12 months.
AgencyEach submission is emailed and stored as a record for 24 months.
EnterpriseStorage and retention are set by your agreement.

Only these three channel types create records. Channels that open another app or page, such as WhatsApp, Telegram or a Custom Link, leave nothing to store. An AI Chatbot plan does not unlock Website Widgets records: Ask AI conversations have their own section, covered in Visitor Questions In Data Hub. See Pricing for the plans.

Open Data Hub

  1. In the dashboard sidebar, choose Data Hub.
  2. Read the badges beside the page title. Website Widget Data Hub Active means form records are being stored, and a retention badge such as Website Widgets · 12-Month Retention shows how long they are kept. Website Widget Data Hub Locked, or Locked Preview when neither product line includes Data Hub, means your plan does not store form records.
  3. Use the tabs to move between Overview, Records, Analytics, Exports and Notification Controls.

The page has two sections, Website Widgets Data Hub and AI Chatbot Data Hub. Each follows its own plan, so one can be active while the other is locked.

What The Overview Tab Shows

The Overview tab opens first. For Website Widgets it shows six tiles:

  • Responses this month and Contact submissions: counts for the current month.
  • Feedback average: the average of this month’s star and 1–5 ratings. Emoji and thumbs feedback is not scored.
  • Top channel: the channel type visitors used most over the last 30 days.
  • Records retained until: the month a record received today will be kept until.
  • Exports this month: how many exports were created this month.

Below the tiles, Recent Records lists the five newest records, each with a View link. View all records opens the Records tab.

Find A Record

Open the Records tab. The Website Widgets list opens on Last 30 days and shows each record’s type, its form title or rating, the site and the date received. Narrow the list with these filters:

  • Date range. Choose a preset from Last 7 days to Last 24 months, or Custom to pick your own start and end dates, then choose Apply. Clear removes the date range and shows every retained record. Dates are in UTC, and presets longer than your retention period are locked.
  • Website, widget and channel. Choose a website first, then a widget on it, then a single channel in that widget.
  • Type. Choose All Types, Contact Form, Feedback or Guided Form.
  • Source page. Paste a page address and choose Apply page filter to see only submissions sent from that page.

There is no search by name, email or message text, so narrow by date, page or channel instead. Choose Load More at the bottom of the list to see older records. At the top of the tab, a combined Records list shows the newest records from every product line your plans include.

Read A Record

Select a row to open the record in a panel on the right. It shows what the visitor sent and where it came from:

  • From: the name, email and phone number the visitor gave.
  • Message, or Comment on a Feedback record. The rating is shown at the top of the panel.
  • Submitted Answers on a Guided Form record, each shown under its question.
  • Record: the site, the source page, the date received, the status, the form title and the Retained until date.

The buttons at the bottom are View widget, View source page, Export record and Copy summary, which copies the record as plain text. Guided Form answers are emailed to you in full, and Data Hub also keeps them with the record.

Records Are Read-OnlyData Hub stores responses. It is not an inbox or a ticket system, so you cannot reply to a visitor, assign a record or change it there. To answer a visitor, reply to the notification email or use the contact details in the record.

If A Submission Is Not There

  • Check the plan. On Website Widgets Starter and Pro a submission arrives by email and is not stored.
  • Check the date range. The Records tab opens on the last 30 days, so open the date range and choose Clear to see older records.
  • Remove the website, widget, channel, type and source page filters one at a time.
  • Check the Retained until date. Records are removed automatically when their retention period ends. See Retention By Plan.
  • Check that the form is published and that the test was sent from your live website. Forms accept submissions only from the website domain set for the widget.
