My Export Is Locked, Failed Or Expired
Exports need Data Hub on that product line and an Owner or Admin role. They are prepared once a day, a failed export can be retried, and an expired one is created again with New.
An export is a CSV file of stored Data Hub records. You create and download exports on the Exports tab of Data Hub, where Export History lists each one with a status: Preparing, Ready, Failed or Expired. Find the status or message you see below.
When Exports Are Locked
| What You See | Why | What To Do |
|---|---|---|
| “Exports are available to workspace owners and admins.” | Your role in this workspace is not Owner or Admin. | Ask the workspace Owner or an Admin to create the export. |
| Upgrade to export Data Hub records | Neither product line includes Data Hub. | Exports start on Website Widgets Business for form records and on AI Chatbot Business for AI records. |
| A note that exports for one product line aren’t available on your current plan | Only the other product line includes Data Hub. | Export the line that is active. Upgrade the other line to export its records. |
| A date preset with a lock | The preset is longer than your retention period. | Choose a shorter preset, or Clear to cover every retained record. |
| A note that exports are temporarily unavailable | The tab could not be loaded. | Refresh in a moment. |
Each product line is checked on its own, and Bundle & Save changes the price only. Exports contain records. Analytics charts and totals cannot be exported. Compare plans on Pricing.
When An Export Stays On Preparing
Flidu prepares exports in a scheduled background run that happens once a day, not at the moment you select Create export. Until that run, the export stays on Preparing and there is nothing to retry. You do not need to keep the page open: the person who created the export is emailed when it is ready, or if it could not be prepared.
Creating the same export again does not make it faster. A repeat made straight away is folded into the first one, and Flidu says “This export is already being prepared”. If an export is still on Preparing two days after you created it, contact us.
When An Export Failed
Select Details on the row to read the reason, then act on it.
| Reason Shown | What To Do |
|---|---|
| “Too many records for a single export. Narrow the range and try again.” | Create a new export with a shorter date range or tighter filters. Retrying the same export would reach the same limit. |
| “A selected record is no longer available. Choose records again.” | A record you ticked is no longer stored, for example because its retention period ended. Tick the records again on the Records tab and select Export selected. |
| “The record count was temporarily unavailable. Try again.” | Select Retry. |
| “Generation timed out. Try again.” | Select Retry. |
| “This export could not be prepared.” | Select Retry. If it fails a second time, contact us. |
Retry creates the export again with the same records, name and fields, and Flidu confirms “Export requested again. It will appear below when ready.” The new export is prepared in the next daily run. If Retry answers “This export can no longer be re-created. Create a new export instead.”, start a fresh one with New export.
When An Export Expired
A ready export can be downloaded for a limited time. Its row shows Expires with a date, and the email you receive gives the exact time, so download the file the day you are told it is ready. After that the status changes to Expired and the CSV button is gone. A row that still reads Ready but has no CSV button has also passed its download time.
Select New on the expired row, or New export in its Details panel, to create the same export again. It is prepared in the next daily run. Flidu does not keep a finished file: the CSV is built when you download it, from the records that are still stored at that moment.
When The Download Link Does Not Work
If opening a download shows “This export is not available.”, check these in turn:
- You are signed in. The link in the email is not a public link. It works only for an Owner or Admin of the workspace that created the export.
- You are in the right workspace. If you belong to several workspaces, switch to the one the export was created in, then open the link again.
- The export has not expired. Check its row in Export History.
- The plan still includes Data Hub for that product line. If the workspace has moved to a plan without it, the download is refused.
- The ticked records still exist. An export of selected records is refused once one of them has passed its retention date.
What A Correct Result Looks Like
The export appears in Export History as Preparing. After the next daily run it changes to Ready, with a row count and an Expires date, and you receive an email. CSV downloads a file you can open in a spreadsheet. Export Data Hub Records explains how to choose what goes in the file, and Retention By Plan lists how long records are kept.
