Invite Teammates And Roles

Invite people to a workspace from the Team page as an Admin or a read-only Viewer. Seats depend on the workspace’s highest plan, and only the Owner can change roles.

A workspace can hold more than one person. You invite teammates or clients by email from the Team page, give each one a role, and they join by accepting the invitation. How many people fit depends on the workspace’s plan.

The Three Roles

Flidu has three roles: Owner, Admin and Viewer. A role applies to the whole workspace, so anyone you invite can see every website and AI assistant in it.

RoleCan DoCannot Do
OwnerEverything in the workspace, including billing. The only role that can change roles, remove members, give an Admin billing access, transfer ownership, request workspace removal and create another workspace.Leave the workspace without transferring ownership first. A workspace has exactly one Owner.
AdminManage websites, widgets, channels and AI Chatbots. Manage Data Hub records and data sources. View Analytics and export where the plan allows. Invite members and manage pending invitations. Rename the workspace.Change roles, remove members, transfer ownership or request workspace removal. Open Billing, unless the Owner allows it.
ViewerView the dashboard, websites, widgets, AI Chatbots, the team list and workspace settings, plus the Data Hub records and Analytics the plan allows.Edit, export or delete anything, invite members, or open Billing.

Nobody can be invited as Owner. Someone becomes Owner only when the current Owner transfers ownership to them. The same summary is on the Team page under Role Permissions, where View full permissions expands each role.

Seats By Plan

Every person in a workspace takes one seat. The seat limit comes from the highest active plan in that workspace, on either product line.

Highest Plan In The WorkspaceSeats

EnterpriseSet with Flidu’s team
  • The Owner counts as one seat, so a Free or Starter workspace has no seat for a second person.
  • A pending invitation holds a seat until it is accepted, expires or is revoked.
  • Seats are not added across the two product lines, and Bundle & Save does not change them. Website Widgets Pro with AI Chatbot Business gives 5 seats, not 7.

The Seat Usage card at the top of the Team page shows the count, for example Pro · 1 of 2 seats used. Plans are compared on the Pricing page.

Send An Invitation

Owners and Admins can invite. The workspace needs a free seat.

  1. Open Team in the sidebar and select Invite Member.
  2. Enter the person’s Email Address. Use the address they will sign in with, because the invitation can only be accepted from that address.
  3. Under Role, choose Admin or Viewer. Admin is selected to begin with.
  4. If you are the Owner and chose Admin, decide whether to turn on Allow Billing Access. It is off by default.
  5. Select Send Invite. The dialog confirms with Invitation Sent, and the invitation appears under Pending Invitations.

The dialog shows the seat count before you send, and warns you when the invite will use your last available seat.

How Your Teammate Accepts

  1. They open the link in the invitation email.
  2. If they are not signed in, Flidu asks them to sign in with the invited email address and then brings them back to the invitation.
  3. The invitation page names your workspace, the role and the invited email. They select Accept Invitation.
  4. Flidu confirms that they have joined. Open Workspace takes them to the dashboard with your workspace selected.

An invitation works once, expires after 7 days, and can only be accepted by the address it was sent to. Someone signed in with a different address is told which one to use. If their account has two-factor protection turned on, they confirm with their authenticator app or passkey before they join.

Manage Pending Invitations

Owners and Admins see a Pending Invitations list on the Team page. Each row shows the invitation, its role and when it expires, with a badge: Pending, Expiring Soon, Expired or Revoked. Open the menu on a row to:

  • Send the invitation again, with the first item in the menu. It emails a new link, and the old link stops working.
  • Switch the invitation between Admin and Viewer before it is accepted, with Change Role.
  • Cancel the invitation and free its seat, with Revoke Invite.

Change A Role Or Remove Someone

Only the Owner can change the people already in the workspace. Open the menu on a member’s row under Active Members:

  • Change Role opens Change Member Role. Pick the new role and select Save Role. Moving an Admin to Viewer removes their editing access and billing access.
  • Manage Billing Access appears for Admins. Turn Allow Billing Access on or off and select Save.
  • Remove From Workspace asks you to confirm with Remove Member. The person loses access to the workspace.
  • Transfer Ownership makes that member the Owner. See I Need To Transfer Ownership Or Remove A Workspace.

Admins and Viewers can step out themselves with Leave Workspace on their own row. They need a new invitation to come back. The Owner cannot leave until ownership has been transferred.

If Something Does Not Work

  • Invite Member is greyed out. Every seat is taken, counting pending invitations. Revoke an invitation you no longer need, ask the Owner to remove a member, or move the workspace to a plan with more seats.
  • This email already has a pending invitation. Use the link beside the message to send that invitation again, or wait for the person to accept it.
  • This email is already an active member. The person is already in the workspace. Check Active Members.
  • Your teammate is told the invitation has expired. Invite them again from Invite Member.
  • The email never arrived. See My Teammate Did Not Get Their Invitation.
  • A teammate cannot open or change something. See A Teammate Cannot See Or Edit Something.
