Agency Workspace Patterns

Three ways to arrange client work in Flidu: a workspace per client, one agency workspace for many websites, or joining the client’s own workspace. How to choose and hand over.

If you build websites for clients, you have to decide where each client’s widgets and AI assistants live. Flidu gives you three workable arrangements. The choice is worth making at the start, because a website cannot be moved from one workspace to another later.

Three Rules That Shape The Choice

  • Roles cover the whole workspace. There are three roles, Owner, Admin and Viewer, and each applies to everything in the workspace. Anyone you invite sees every website and AI assistant in it.
  • Websites stay where they are created. A website, widget or AI assistant cannot be moved to a different workspace.
  • Plans, seats and billing belong to the workspace. Your first workspace can stay on Free. Each additional workspace needs at least one paid plan of its own, and a plan in one workspace does nothing for another.

Pattern 1: One Workspace Per Client

Create a separate workspace for each client. That client’s websites, records, analytics, team and billing are kept apart from everyone else’s. Choose this when the client will sign in, should see only their own setup, or may take the account over one day.

  1. From the workspace switcher, select Create Workspace and name the workspace after the client. Fill in Client / Project Label so it is easy to spot in your list.
  2. Pick the product lines and a paid plan for that workspace.
  3. Once the workspace is active, switch to it and build the client’s Website Widget and AI assistant there.
  4. Invite the client from Team, as a Viewer to look or as an Admin to edit. That needs a second seat, which starts at Pro.

Keep in mind that every client workspace carries its own paid plan, and that you must be the Owner of the workspace you are in to create a new one. The steps are in Create And Switch Workspaces.

Pattern 2: One Agency Workspace For Many Websites

Keep every client website in a single workspace that you own, on an Agency plan. Choose this when you run everything yourself and clients never sign in to Flidu. An Agency plan is sold as presets, and each preset sits inside one workspace:

Product LineAgency Presets
Website WidgetsAgency 100, 250, 500 or 1000: that many websites in the workspace.
AI ChatbotAgency 20, 30, 50 or 80: that many AI assistants in the workspace.

The two product lines are chosen separately, every website shares the preset’s one allowance, and the workspace has 15 seats, including yours.

Keep in mind that anyone you invite sees every client’s setup, and that you cannot later hand one client their website by moving it out. If a client might take over, use Pattern 1 for them.

Pattern 3: The Client Owns, You Join

The client signs up, owns the workspace and pays for its plan. They invite you from their Team page as an Admin, and once you accept, their workspace appears in your workspace switcher beside your own. Choose this when the client wants to hold the account and the billing from day one.

Keep in mind that the client’s workspace needs a free seat for you, so it must be on Pro or higher on either product line. As an Admin you can build and edit the websites, widgets and AI assistants, but you cannot change roles or remove members, and you see Billing only if the client turns on Allow Billing Access for you. You can step away at any time with Leave Workspace on your own row of the Team page.

Keep Track Of Client Workspaces

  • All Workspaces. Open the switcher and select Manage Workspaces. Every workspace you own or have joined is listed with your role, both plans, the member count and its client label.
  • The Agency section in Analytics. When the workspace you are in is on an Agency plan and you are its Owner or Admin, Analytics gains an Agency section with a Client workspaces table. It has one row for each workspace where you are Owner or Admin, showing published widgets, AI assistants, monthly visitors, monthly AI messages and activity for the selected period.

Each row uses that workspace’s own plan and limits. The figures are shown workspace by workspace and are not added together.

Hand A Workspace To A Client

With Pattern 1 you can pass the whole workspace to the client when the project ends.

  1. Make sure the client has accepted an invitation and is an active member. Ownership can only go to someone already in the workspace.
  2. Settle anything to do with the card, renewal and invoices first. The transfer moves ownership and billing responsibility. It does not change the payment method on file.
  3. On Team, open the menu on the client’s row and select Transfer Ownership.
  4. Select Continue, tick the acknowledgement, type TRANSFER and select Transfer Ownership. Then confirm it is you in the Verify It’s You step, with your authenticator app, a passkey or an email code, and select Continue once it shows Verified.

The change is immediate. The client becomes the only Owner, and you stay in the workspace as an Admin with billing access off until you leave or are removed. More detail is in I Need To Transfer Ownership Or Remove A Workspace.

Branding On Client SitesClients see the Flidu name in the dashboard and on the invitation page. On the widget itself, the Powered by Flidu mark can be hidden for a workspace once Website Widgets or AI Chatbot in that workspace is on Business or higher. See Powered By Flidu Control.

If Something Does Not Work

  • Create Workspace says only a workspace Owner can create one. You are an Admin or a Viewer in the workspace you are in. Switch to a workspace you own first.
  • You cannot invite the client. The workspace has no free seat. Free and Starter have one seat, which the Owner uses. See Invite Teammates And Roles.
  • The Agency section is missing from Analytics. Open Analytics from the workspace that holds your Agency plan, as its Owner or Admin.
  • There is no Transfer Ownership option on the Team page. It sits in the menu on another member’s row, and the workspace has no other active member yet. Invite the client and wait for them to accept.
